Hotels
University travellers and guest of UBC have access to many hotel discount and corporate programs within Canada and outside of Canada. Hotel rates are based on supply and demand and rates can fluctuate frequently. The most efficient way to verify which rates are the most suitable is through UBC’s self serve or full service vendor. There are exceptions, such as when a traveller is attending a conference which has a designated hotel and booking method.
There are also promotional prepaid rates that hotels advertise. While these rates may seem more attractive than the UBC’s programs they are generally more restrictive and place travellers in the least desirable rooms. These rates may not be in the best interest of the traveller or UBC. With the University travel program there is no prepayment requirement for the entire duration of the stay. The only requirement is a credit number to guarantee the reservation and the payment is processed upon check out. Another disadvantage of prepaid hotel rates, generally the change and cancel policies are greater which means more risk of financial loss.
Hotels within British Columbia
BC Provincial Government Hotel Rates
UBC staff and faculty can take advantage of the hotel and motel rates negotiated by the Provincial Government within the Province of British Columbia. These rates are intended for business travel only; as such UBC identification may be requested upon check-in. Generally the BC Government rates are more competitive than CAUBO or Corporate UBC rates.
To Book:
To verify pricing of participating hotels, visit the BC Provincial Government hotel listings page. The University recommends booking the hotel through UBC’s full service travel vendor. If the BC Government rate inventory is not available travellers should ask the travel agent for CAUBO or Corporate rates.
The BC Government has not automated their hotel rates therefore, when using UBC online booking tool the rates will not be visible, however the reservation can still be made using the least expensive fare available in the booking tool then sending an email to hotel property to adjust the rate if available.
Hotels within Canada
CAUBO / AUCC (Canadian Association of University Business Officers)
CAUBO rates are negotiated through Interuniversity Service Inc. These rates offered to faculty and staff may have discounts as high as 50% off regular rates. A full listing of participating hotels within Canada, including rates and green key ratings is available on the CAUBO website.

What Else Should I Know?
- The rates listed are not applicable for groups or conferences. These types of requests must be negotiated separately with the hotel.
- The hotel rates listed are available for personal travel where indicated by the hotel listing. However, hotels may require University identification upon arrival.
- The hotels listed may offer a promotional or special rate (such as a weekend rate) that may be lower than the "University" rate posted. Please feel free to ask for the best rate possible.
Hotels outside of Canada
There are several programs for travel outside of Canada that our contracted travel agency and CAUBO have to offer. The participating hotels have various methods to access these rates. Therefore the University is currently reassessing these agreements and looking to streamline the access to the various fares. However in the meantime the review of the CAUBO programs and fares is through their weblinks.

By using UBC’s preferred booking methods you are ensuring you reservation is within the UBCTravelSmart program. With both bookings methods, should an emergency or an unexpected event arise your reservation can be tracked by UBC and you have access to 24/7/365 service. If you find the rates offered through the CAUBO program less expensive, send an email directly to the hotel requesting a price adjustment.
UBC On Campus Accommodations
The West Coast Suites is the only all-suite hotel on the UBC Point Grey campus available year round.
