Car Rental

University travelles and guest of UBC have access to many car discount and corporate programs within Canada and outside of Canada, including an agreement with National/Enterprise.

Car rates frequently fluctuate due to supply and demand. The most efficient way to verify which rates are the most suitable is through UBC’s self serve or full service vendor. Car rental companies also offer promotional prepaid rates however while these rates may seem more attractive than the UBC programs they are generally more restrictive with their change and cancelation policies. Therefore UBC recommends the use of non prepaid rates. However should the need arise it is still possible to use UBC’s vendor to book the prepaid promotional rates.

Other discount programs

UBC staff and faculty are considered “broader public sector employees” by the provincial government and as such can take advantage of the car rental rates negotiated by the BC Provincial Government for car rentals within BC. These rates are intended for UBC related business travel only; as such UBC identification may be requested upon vehicle pick-up.

When renting vehicles outside of BC the CAUBO (Canadian Association of University Business Officers) rates with Budget may have a rate that is more advantages than UBC’s preferred vendor Enterprise/National.

To Book:

The University recommends booking the car rental through Self Serve or UBC’s Full Service options as they are able to verify all UBC programs and compare the rates to other car companies to find the best available rate.  

Tip:  When picking up the vehicle, ensure you have your corporate identification numbers and ask the car rental company to confirm the rate booked and to verify it against any promotional rates.

Car rental vehicle insurance:

It is the responsibility of the traveller to ensure they have adequate insurance for rental vehicles while on university business.  For complete details review UBC’s  Insurance and Loss Prevention site and the Rental vehicle  Page.

Third Party Liability:  The University automatically carriers Third Party Liability insurance for UBC related short term car rental.  As such UBC travellers should decline this insurance if offered by the car rental company.

Collision Damage Waiver (CDW):  CDW is not automatically covered by the University.  UBC  offers two options to purchase CDW insurance. 

Option #1 - When the UBC employee is driving and paying for the vehicle with their UBC AMEX corporate credit card (not the UBC AMEX departmental card), there is automatic CDW coverage. As such UBC travellers should decline this insurance if offered by the car rental company.

Important:  When using the UBC AMEX corporate card - In the event of an accident American Express must be contacted within 48 hours for the insurance to be valid. American Express may decline coverage after 48 hours.  1-800-243-0198.
